About the client

Chemtec Arabia supplies advanced chemical products to industrial customers across the Kingdom of Saudi Arabia.

The challenge

Saudi Arabia's ZATCA Phase 2 rules require invoices to be cryptographically stamped, carry a compliant QR code and be reported to the authority in near real time. Chemtec's existing setup produced English-only PDFs and could not integrate with the ZATCA platform.

  • Hard regulatory deadline for Phase 2 integration
  • English-only invoice templates
  • No integration between invoicing and the ZATCA platform
  • Manual reconciliation with Zoho Books

Our solution

  1. Compliance architecture — A lightweight middleware service handles onboarding, cryptographic stamping, XML generation and clearance with the ZATCA API.
  2. Bilingual templates — Arabic and English invoice layouts generated as PDF/A-3 with the embedded XML and compliant QR code.
  3. Zoho Books integration — Invoices raised in Zoho Books are sent for clearance automatically, and the ZATCA response is written back to the invoice record.
  4. Error handling and audit — Rejected invoices are flagged to finance with the reason, and every submission is logged for audit.

Results

Chemtec met its Phase 2 deadline with a fully automated, auditable invoicing process.

  • 100% of invoices cleared through ZATCA without manual steps
  • Bilingual invoices accepted by all key customers
  • Finance reconciliation time reduced significantly
  • Complete audit trail for every invoice
