When n8n beats Zoho Flow, and when it doesn't

Both tools automate workflows, but they suit very different levels of complexity. Here's how we decide which to use.

Zoho Flow: fast and native

Zoho Flow is a visual integration platform with ready-made connectors for Zoho apps and hundreds of third-party services. For a Zoho-centric business, it is the quickest way to connect systems without managing infrastructure.

  • Native triggers and actions for Zoho apps
  • No servers to host or maintain
  • Good for linear flows with a few steps
  • Custom functions available when you need logic

n8n: flexible and developer-friendly

n8n is an open-source workflow tool that can be self-hosted. It handles branching logic, loops, error workflows and custom code well, and does not charge per task when self-hosted.

  • Complex branching and data transformation
  • Self-hosting for data residency requirements
  • Predictable costs at high volumes
  • Requires hosting, monitoring and updates
How we decideIf the workflow is mostly Zoho-to-Zoho or a handful of SaaS apps, we use Zoho Flow. If it involves heavy data processing, high volumes or strict data residency, we use n8n.

Common mistakes

  • Building critical processes without error handling or alerts
  • Choosing a tool before mapping the process
  • Ignoring task-based pricing at scale
  • No documentation of who owns each workflow
